Examination Tips


 

The following items should be included in a licensee’s examination procedures:

 

  • Provide the examiner with adequate work space, access to a telephone, and copy machine.
  • Introduce examiner to key personnel in the office who can assist and who will be available to answer questions that may arise.
  • Show the examiner where loan files (in process, closed, paid, withdrawn, denied) are stored.
  • Provide the examiner with a copy of the previous North Carolina examination report and licensee’s response to the report (if applicable).
  • Provide the examiner with blank copies of the licensee’s forms (e.g., Federal and NC disclosures, lock-in and/or commitment agreement, prequalification disclosure, and sample copies of advertisements).
  • Complete the Management Questionnaire before the examiner arrives at the office and include all attachments referenced in licensee’s responses.
  • Have all documents listed on the Management Information Checklist compiled and available for review before the examiner arrives at the office.
  • Immediately notify the examiner of any office or branch closings.
  • Have all mortgage lender or broker licenses, loan officer licenses, and Federal Housing Act poster displayed in clear public view.
  • Have all loan files in a consistent stacking order.
  • Ask questions.  One of our responsibilities as mortgage examiners is to assist licensees with maintaining compliance.
